How to manage Suggestions?

The more organized slides you have in your library, the more likely you are to find what you are looking for. Although you and your colleagues may want to help share your best slides, this could become complex for them because:

They don’t know who is responsible for your company library and company slides
They might be afraid to overwrite existing slides or delete old versions
They can’t easily do it in PowerPoint

Additionally, there is no recognition if they share slides – even though this adds a ton of value for all colleagues.

The Suggestion feature makes it easy to contribute/share slides so your company library can grow, and you and your colleagues can leverage each other’s best-practice slides.

How can I limit who suggests slides?


Go to manage view > Assets Setting > Suggestions tab.

In the Suggestions tab you can:
Enable or disable the Suggestion feature for your company
Determine who can suggest slides based on roles (if any)
Set a default responsible who will be notified when there's a new suggestion




How does it work? (For Owner, Manager or Gatekeeper)


Depending on the suggestions settings, everyone in your organization are able to submit suggestions and owners, managers and gatekeepers are also able to review these contributions from other members.

If you want to know who has access and what their level of permissions are, we suggest you visit the 'How can I manage my team member's Permissions?' article.

To review the Suggestions contributed by your team, go to Explore / End-user view, click on Suggestion > Action required. Here, you can see if you have any slides that needs to be reviewed by you, and all the other suggestions that are pending but have a different responsible.

Active / pending contributions allow Managers, Owners, and Gatekeepers to take action or to assign someone else to review specific slides


How can I review the contributions in detail?


To view details of a particular contribution, click on “View” to the right side of the individual contribution.



Within the more detailed view you can can download the slides to review them and then decide whether you approve them and upload it to the library or reject them. If you like them but believe it needs some tweaking you can leave a comment/feedback to the contributor or let them know about your decision. If you’d like you can also make a few edits to it or replace the whole file with the ‘Replace’ button.

Can I have an overview of all Suggestion?


Yes, with a manager role within the Suggestion tab, you can find ‘All suggestions’ where you are able to see every libraries suggestions if you are a manager in multiple of them.
You can even filter them based on Status, Suggester, Responsible, Dates, Slides and Library that the slide(s) has been suggested to.
You can change the responsible here and see the status of the slides that can be pending, cancelled/rejected or completed.

Pending: Means that no one in your organization has reviewed them or acted on them.
Rejected: The suggestions don’t align with the Manager, or Gatekeepers guidelines and decided to not add it to the company’s library.
Completed: The suggestions add value to your organizations and was added to the company library.




That’s it! Now you can manage contributions made by your colleagues and have great content added easily to the company’s library.
